8 STEPS


1 In SirsiDynix Symphony WorkFlows, under the Common Tasks, Click on the CheckOut Wizard.

2 Click on the User I.D. line.

3 Scan (or type,) the patron's library barcode number.

4 Click on the Item I.D. line.

Step 4 image

5 Scan (or type) the item's library barcode. 

Step 5 image

6 Click on Email All Checkouts Receipt. This will send the patron a list of all checkouts to their email.

7 Click Ok for confirmation.

8 Close to end the Check Out task. That's how to check out an item in Symphony Workflows!

1 To Check In or Discharge an item: Under the Common Tasks Wizard, Click on Discharging.

2 Scan or type the item ID. The item ID number is the item barcode number: 33136005956977.

3 Read where the item needs to go next. In this case, the book was a Reserves book. It will go on the Reserves shelf. That's it. You're done.

1 In SirsiDynix Symphony WorkFlows, click to open the Users wizard.

2 Click on User Registration.

3 Scan or type the User ID barcode (or ALT ID.)

4 Type the patron's First name. (Our patron's name is Jack.) Click on the Last name.

5 Type the patron's Last name. (Our patron's last name is Sparrow.)

6 Click Yes on the User Registration Confirmation popup.

7 Click Close to Complete the Registration.  You have registered the patron, Jack Sparrow. Next, we want to add more of Jack's information.

8 To Modify the patron's record, Click on Modify User.

9 Click on the Current user, Sparrow Jack.

10 Click on the Privilege tab, next to the Basic Info tab.

11 Workflows has a default Pin number. Change the Pin Number for the patron. The pin number is usually the last four digits of the patron's phone number but Jack wanted his pin number to be: 1234. Then click the Override box.

12 The override password is OK. Type OK.
Then Click on the Demographic's tab.

13 Click on the Birth date gadget.

14 Scroll the months until you see June.

15 Click to select June as this is Jack Sparrow's birth month.

16 Click on the 8th, as June 8 is Jack's birthday.

17 Click on the scroll to find Jack's birth year.

18 Click to select 1962. This is Jack's birth year.

19 When the Date of Birth has been entered correctly,  click OK.

20 Click on the Addresses tab.

21 Type Jack's address in Line 1. His address is 123 Caribbean Isle Drive.

22 Type in the patron's City and State. Jack's City and State are Kingwood, TX

23 Type the patron's Zip Code.
Jack's Zip Code is 77339.

24 Use the page scroll bar to see more of the page so you can enter more of the patron's information.

25 Use the information scroll bar to see the rest of the patron's information lines.

26 Click on the Cell Phone line to enter the patron's cell phone number.

27 Type the patron's cell phone number. Jack's cell phone number is 281-312-1691.

28 Type the patron's email on the email line.  Jack's email is JackSparrow@gmail.com. Then Click Save to save the patron's information.

29 The record is updated and complete. Click Close.

30 That's it. You're done. You have created a new patron's record in Workflows.

1 The first step is to open SirsiDynix Symphony WorkFlows and click on the wizard, Users.

2 Click on Modify User

3 Scan (or type) the patron's barcode. Jack Sparrow's barcode is 23136001234567 and Press Enter

4 Jack came into the Library for a Student ID and left his hat. To leave a note on his record, Click on the Extended Info tab.

5 To leave a note of when Jack received his ID, Type in the Note field: LSCKING ID 6/1/19. Click on the Comment tab to add an additional comment.

6 When leaving a comment for the patron, put the date of the comment and your initials/your library. Type: "Left hat at Service Desk, 6/1/19 alm/LSCKING.

7 Click Save.

8 Jack wants to add his new email address so that the Library can email him. Click Make More Changes.

9 Click on Addresses tab. (The address tab is more than just addresses, it is also where phone numbers and email addresses are entered.)

10 Click to scroll down the main page.

11 Click the arrow down to scroll the address tab page to see the email line.

12 Click on the email line.

13 Type Jack's email: jacksparrow@gmail.com and then Click Save.

15 You have completed the task of modifying a user record to add a note.  But now you want to check the note to see if it is displaying properly.

16 To check the note to see if it is displaying properly, under the Users wizard, Click Display User.

17 Click on the current user, Jack Sparrow.

18 Click on Notes.

19 It will display all notes and comments. (Make it a habit to always click the red Notes as important information may be there.) Click Close.

20 Next we will close Jack's record, so Workflows is ready for the next patron. It is important to close records when you are finished with the patron to safeguard the privacy of the patron's record. Click Close.

21 Click Close.

22 That's it you're done!

1 Open SirsiDynix Symphony WorkFlows and click on the Users Wizard.

2 Select Modify User.

3 Click on the User Search gadget.

4 Change the index by clicking on the scroll down menu.

5 Choose Name.

6 Type the patrons name: Sparrow, Jack and Click Search.

7 Jack Sparrow would like to be able to check out until the end of the semester. 
Click on the Privlege tab.

8 Click on Extend user's library privilege

9 Click on the Privilege expires gadget.

10 Click on arrow in calendar to change the expiration date. Jack wants his expiration date to be in September.

11 Click on Septemeber 2.

12 Click OK

13 Jack Sparrow also wants his Pin Number to match the last four digits of his phone number. Click on the PIN line.

14 Type the new PIN number: 1691 and Click Override.

15 Type OK and Click Save.

16 A pop up will remind you that the privilege can be extended for only a limited time. Click Modify User to accept the new date for Jack Sparrow.

17 Click Close to Complete.  Note that Jack's privilege expires 8/21/2019 and that his Pin number has been updated to 1691.

18 That's it. Jack's privilege expiration date and his Pin number have been updated.

1 In Employee Self Service, click on the Links.

3 Under the Faculty & Staff column, click on FACULTY CLASS INFORMATION

4 The Term should be on the current semester. (In this example it is Spring 2019.) Click on the Kingwood location.

5 Click on the Section#. This is where you enter the Course ID.

6 Type HIST 1301 and Press Enter

7 Click on the instructor to show list of classes taught by Barr, John McKee. Look at the last column to see the Bldg/Room number for the Class.

9 In this list, you can see the Building and Room number as well as the days taught, and start and end time for the class taught by this instructor. That's it!

1 The first step is to open your exported Blue Cloud report in Excel. You will be adding a column next to the Call number column.  This is where the sortable call numbers will go in order to convert the report to proper Library of Congress order.

2 Right Click on Column C.

3 Click Insert

4 Right Click on Column B. You will be copying and pasting the Call number column into a new Excel document to sort.

5 Click Copy

6 Right Click in Column A in new Excel document.

7 Click Paste. This will paste the Call numbers from the Report into the new document.

8 Press Ctrl+C . This will copy the first formula. Next you will paste the formula in cell B2 in the new document.

9 Select the B2 cell.

10 Press Ctrl+V in Cell B2 to paste the first formula. Use the corner box to copy the formula for the rest of column B. Doubleclick the corner box to copy the formula down the column.

11 Select  Cell C2. This is where the 2nd formula will be pasted.

12 Press Ctrl+C to copy the 2nd formula. (Both formulas are necessary to convert the report into call number order.)

13 Press Ctrl+V. This will copy the 2nd formula into Cell C2. Again, use the corner box to copy the 2nd formula for the rest of column C. Double click the corner box to copy the formula down the column.

14 Time to fix errors. One common error is a space between the first number and the period in the call number. To solve this issue: Use Find and Replace in Excel. Search for “ .” and replace with “.”

15 Click Find & Select

17 Type a space and a period, Then Click Replace .

18 Type a period and Click Replace All

19 Click OK.  This is an information screen letting you know how many errors were fixed.

20 Now that punctuation errors are fixed, copy Column C. Right Click.

22 This column of call numbers will be copied into Column D and pasted as values only.

24 Click on Column D.

25 Type "Sortable Call Numbers" in Column D.

26 Column D is now ready to be copied and pasted into the original report. Click Copy

27 Right Click in Column C of the original report (the column next to the original call number column.)

28 Click Paste

29 Now it is time for Sorting! Click on one of the cells in the sortable call number column.

30 Click Sort & Filter.

31 Choose Custom Sort.

32 Click on the scroll bar to select which item to sort by.

34 Click OK

35 You will see that the report is now sorted in Library of Congress Call Numbers.
Notice that the highlighted line has moved it's location. This is because that entry is now in correct call number order.

36 That's it! The practical applications of converting reports to LC order include collection development reporting, day to day shelf reading and, of course, Inventory.

1 Click SirsiDynix Symphony WorkFlows Reserves Tab. Under Common Tasks, view the Reserves session to make sure it is correct.

2 You should see your library's reserve location at the top and RESERVES at the bottom. Click OK.

3 Under the Reserves Information wizard, Click on "Create Reserve." (For our example, we will be putting on a book called, "China Marine.")

4 This will pull up the Identify reserve box.

5 Scan or Type the Item ID (barcode) for the Reserve item. The barcode is: 33136005945715 and press enter.

6 Click on the Circulation Rule box. For this example, you will be looking for a rule to fit a 2 hour Reserve checkout.

7 Scroll to find the Circulation Rule for a 2 hour reserve.

8 Click on the Circulation Rule:  2H50CH1R5G (which means 2 hours, 50 cents per hour fine, one renewal and 5 minutes grace period.)

9 Click on the Expires date gadget.

10 You can choose a specific date, but in this example, click on "No date." This will keep the item on Reserve indefinitely.

11 Click OK

12 Click on Copies needed.

13 For our example, we are putting only one copy on Reserve. Type 1 and move to the scroll down for Status.

14 Scroll and select CURRENT.

15 Next, Click on the Individual Reserve Tab.

16 Click on the Instructor ID line gadget.

17 Under the Index for User name, click on the "Search for" box.

18 Type the name of the instructor. For our example, Type: HISTORY DEPT. (Because this Reserve book is being used by multiple History instructors, we choose to make the instructor HISTORY dept.)
Then click Search.

19 Click on HISTORY DEPT LSCKING.

20 Then Click OK

21 Click on the Course ID gadget.

22 Click on the scroll gadget to change the index to Course ID.

23 Click to select Course ID

24 Type the Course ID. In this example, type HIST 1302. Then click Search.

25 When you have found the correct Course ID,(example HIST 1302) click OK.

26 Click on the Expires date gadget.

27 Because we are not using a specific date for our Reserves, click on "No date."

28 Click OK.

29 Click on the Copies tab.

30 Click on the scroll bar for the New Status.

31 Select ON RESERVE for the New Status.

32 Click on Create. This will create the Reserve record and a new tab next to Copies tab will be revealed.

33 Click on the Extended Information Tab.

34 Type a NOTE. For our example, type Library Owned. 
Then click Modify.

35 Click Close.

36 The Item is now on Reserve. How would you add an instructor or course later to this Reserve item? To go back and add an instructor or course, click on Individual Reserve under the Reserve Information wizard.

37 Click on the Current Reserve title, in our example, "China marine."

38 You will see the instructor's name and Course ID for this Reserve item. To add an instructor or course, click on "Add Instructor/Course Record."

39 This is the screen to add a an instructor or course to the reserve record. Since we are NOT adding a new instructor or course at this time, click Cancel.

40 Click Close to exit the Reserve record.

41 That's it. You're done. You have put an item on Reserve and learned where to add an instructor or course to a Reserve record.
