PT Specialist III Training

Training for new PT Specialist IIIs and a refresher for current PT Specialist IIIs.

Circulation Station

**All stations are expected to check their employee emails**

While ALL Stations should be welcoming patrons, this station is the first contact.

(Make the welcome your own: Welcome in, Good Morning, Nice to see you etc)

­­­­­­­­­­­­­­­­­­­­­­_________ ID STATION. Check Cards in hopper. Add cards if needed. Check cards and ribbon supply in bottom drawer.

_________ ONLINE BARCODES. (Follow step by step in Circulation Training Guide.) Don’t forget to make sure location is LSCKING, Pin number is Last 4 digits of phone, update phone numbers not uploaded into WorkFlows into the ALT Phone field, and add “Online bc Date LSCKING” in the extended information tab.

_________ BINS. Give LTS bin to Anne. For the other bins (or blue envelopes) check in the items (so they are no longer in transit) and print HOLD slips & Transit sheets as needed.  Put items coming home on Shelving cart. DON’T FORGET TO STAT THE HOLDS FROM THE BINS.

_________ EMAIL HOLDS in LRC-Circ email. Wrap Holds in paper and use marker to write Patron’s Last name and today’s date. Place holds on HOLD shelf in alphabetical order by Patron’s Last name.

__________ CHECKIN/CHECKOUT items as needed. (Email due date for Circulating Items.)

__________ SHELVING CART. Put in LC order. 

__________ MARK ITEM USED. As time permits, take a few items from the shelving cart to shelve. “Face” the shelf you are shelving an item on. If you see random books/items on the shelf in wrong place, or on  chair/table, scan the items under WF Special ->Mark item used.

__________  Walk the space. Clean up. Check in with the students.

 __________ Check with your team. They may need temporary help. Go back to your station asap. (Your station is your priority.)

__________ Special Projects. Ask Anne if there are special projects (eg. scanning digital reserves.)  She will be asked by other Full timers if there is someone available to work on a special project. 

__________  Circulation Station Slow? “Face” the shelves.

  1. LSCS (Lone Star College System) Libraries are in a partnership with Harris County Public Libraries, and Montgomery County Memorial Libraries. What is this partnership called?    Harmonic (the Har is Harris County, the Mon is Montgomery, and the C is for Colleges.) 

  2. Which two Lone Star Libraries are “joint” libraries meaning they are both Lone Star Colleges and Harris County Public Libraries?  Tomball and CyFair.

  3. In Work Flows, patron records ALL IN CAPS are public library records. True or False?     True
  4. In Work Flows, what words means the same as Discharge?  Check In 
  5. If an item is requested by another patron, can the item be renewed? No. Ask the Circulation Coordinator if an exception needs to be made. (We always prefer our own students checking out our own LSC-Kingwood Library items.)
  6. What does “Circnhold” mean? The itype (item type) “Circnhold means the book can circulate, but you can’t place a hold or renew it.  Our ESOL readers and our Career books have the itype “Circnhold.” Patrons can check them out, but they can’t request them or renew them.  If patrons want to check out the book for longer, we can check the book in and check the book out again which will give the patron an additional 2 weeks due date.  We also can modify the due date (which is very useful if they do not have the book with them.)
  7. Someone left a library book sitting on a chair at one of pods. In Work Flows, how do I make sure this book is counted as used “in house?”  Special Wizard -> Mark Item Used -> Scan item barcode.
  8. When shelving, items should be brought out to the edges of the shelves to make even, neat rows. What is this process called?   Facing 
  9. Can we make ID badges for a Community or Public Library patron?  No
  10. A student lost an ID we just made for them two weeks ago. How much do we charge for a replacement student ID?  $10  Bonus: How can a student pay for a lost ID online?  Kingwood Marketplace
  11. How many digits does a library barcode have? 14  Bonus: How can you tell the difference between an item barcode and a user barcode? An item barcode begins with a “3.” A user barcode begins with a “2.”
  12. Why do we have a Backup Check out log?  For power outages/Workflows down. Bonus: Can students use a driver’s license to check out items when there is a power outage? While we can use a drivers license for regular WorkFlows checkouts, we can’t use a DL when WorkFlows is down because we can’t match the ID number. Therefore, they must have their student ID to check out items during a power outage.  
  13. How do we check to see if a student is enrolled in classes?  Campus Community  Bonus: Can we see who their instructor is? Yes. In the Student Services tab, you can see the student’s class schedule. Click on “My Class Schedule.” The schedule contains the instructor’s name (which is also very helpful for the tutoring check in station.)

  15. What College Library bin do all Harris County Public Library (HCPL) transits go in? CyFair

  17. No matter which computer you are on at the Service Desk, where can you quickly find Circulation’s online response templates?  At each station on the computer desk top, there is a folder called “Online Responses.”
  18. Into which bin does a book with a transit sheet with the 3 letters "TOM" go? The Tomball bin. Even though TOM has 3 letters similar to HCPL designations, Tomball as a major college library, has its own bin.  
  19. How much does the library charge each day for an overdue item? 25 cents.  Bonus:  What is a grace period and do our Circulating books have one?  A grace period can help a patron not stress about a fine when they are a couple of days past the due date. Most of our circulating books have a 3 day grace period. However, on the fourth day late, the book will have accrued a fine of $1.
  20. A Professor was given his Access Card Request Form and was told to go to the Library to get their ID picture taken.  On the form, it says “Adjunct.” What kind of ID card do you make: A One-Card or PVC? PVC; the Adjunct will get his key card from their DOM.  Bonus: When you hand him back his form, you remind him to bring it to his “DOM.”  He tells you he doesn’t know who or where his DOM is.  How can you find his DOM for him?  First, ask him what course does he teach? Then look in the LC Manual-> Campus Contacts-> Academic Divisions tab-> Select the DOM (Division Office Manager) for the course he teaches.
